Integrate GPT with Google Calendar: Zapier AI Actions Tutorial

[00:00] in this video we’re going to create a
[00:01] GPT call calendars app um that’s going
[00:04] to connect to our Google Calendar via
[00:07] zpi AI action so the GPT we will
[00:10] interact with will set up our event uh
[00:14] on our Google Calendar and it’s going to
[00:16] do that by connecting to zapier’s AI
[00:19] action so for example the instruction
[00:21] will be set up a meeting for Thursday at
[00:23] 6 a.m PT with Jill Smith at the high at
[00:26] San Diego so the calendar zap is going
[00:28] to reach out to zp AI actions and it’s
[00:31] going to go ahead and create that event
[00:33] for us on our Google Calendar as you can
[00:35] see here and then what we’re going to do
[00:39] is walk through how to create the AI
[00:41] actions in our GPT so that way you can
[00:44] utilize zapier to connect your apps to
[00:47] the GPT and have the interaction with it
[00:50] from this interface we’re going to also
[00:52] take a look at the action sections here
[00:55] so instead of creating the open AI open
[00:58] API schema ourselves we’re going to
[01:00] actually uh going to utilize the import
[01:02] from URL section so that way you can see
[01:05] how that works and then we’re also going
[01:06] to provide our own customer instructions
[01:09] to make sure that the user is getting a
[01:11] proper response this is going to be very
[01:13] simple video but very powerful so that
[01:15] way you guys can understand how to
[01:16] connect uh zapier to uh the GPT and that
[01:20] way perform uh these actions with that
[01:23] being said let’s get
[01:28] started all right so I’m at chat.
[01:31] open.com um already in my new GPT so
[01:34] instead of interacting in the create
[01:36] side I’m going to jump straight to the
[01:37] configure tab um I’m going to name the
[01:39] GPT here called calendar Z
[01:42] app and I’m actually going to create a
[01:45] photo profile picture using Dolly e so
[01:47] I’m going to click on that all right so
[01:51] we’re going to skript the descriptions
[01:52] for now and instructions as well um I’m
[01:54] going to go ahead and jump in on
[01:56] zapier’s AI action so I’m at actions.
[01:59] zapier.com so for those of you who are
[02:02] not familiar with zapier um zapier is
[02:04] basically a company that provides uh
[02:06] integration for web application uh for
[02:09] using automated workflows uh so zapier
[02:12] provides workflows that kind of allow
[02:14] different web applications to be used in
[02:16] the same workflow um and again their
[02:19] their products kind of focus on
[02:22] automatic automating recurring tasks
[02:25] such as lead management um and then also
[02:28] they have a lot of other functionalities
[02:29] and a lot of other uh apps that you can
[02:31] connect to to automate a lot of the work
[02:34] processes or workflows that are used on
[02:37] a day-to-day basis um so users kind of
[02:39] set rules uh that set up the flow of
[02:42] data between different tools and
[02:43] services so that’s essentially what zap
[02:45] here is uh so they have created this AI
[02:48] actions as you can see it’s in uh AI
[02:50] Alpha at this point but what we’re going
[02:52] to do is come down here and click on
[02:56] chat GPT and
[02:58] gpts so in here you guys can go ahead
[03:01] and you know read through and they they
[03:04] also have a tutorial you’re interested
[03:06] on looking at but we’re going to come
[03:07] down here in the get started section and
[03:09] then copy this
[03:11] URL and we’re going to go back here and
[03:14] go to uh create new action and in my
[03:17] last video we used and created our own
[03:21] uh open API schema here but instead of
[03:24] that now we’re going to use the import
[03:26] from URL so we’re going to come here and
[03:29] paste the URL that we just copied and
[03:32] then I’m going to click on
[03:33] import and as you can see now the open
[03:37] API schema has been created just by that
[03:40] URL that we just imported um again you
[03:43] can walk through the different sections
[03:45] of the API schema in my previous video I
[03:47] explained the different sections so feel
[03:49] free to watch that so that way you have
[03:50] a a better understanding if you want to
[03:53] know the details of how the uh API
[03:56] scheme works I’m going to click back
[04:00] and as you can see um the actions.
[04:03] z.com uh that’s fully done here and then
[04:08] what I’m going to do is now click on the
[04:10] instruction section so now uh I want to
[04:12] switch back to the to zapier API actions
[04:16] and if we scroll down you can see that
[04:19] they have this instruction template for
[04:21] AI actions um again I’m going to copy
[04:24] this and then we’ll kind of go through
[04:25] the step by step on what to do here this
[04:28] is just the base uh so we can do a lot
[04:30] of customization here but for now let me
[04:32] just copy this and we’ll come back paste
[04:35] it
[04:36] here all right let me format this a
[04:38] little bit so that
[04:40] way we can understand it a bit more all
[04:43] right so the first section is the rules
[04:45] um so you can as as you can read here uh
[04:48] so before running any actions we want to
[04:50] tell the user that they need to reply
[04:52] after actions complete to continue so
[04:54] what this means is before actually
[04:57] running any zapier actions we want to
[04:59] make sure that the user wants to perform
[05:02] that action before continuing and
[05:04] reaching out to zier’s AI actions in the
[05:06] back end and if the user has confirmed
[05:09] and they have logged into zapi AI
[05:11] actions that’s another requirement you
[05:12] have to be logged into your zapier’s AI
[05:15] action and if you don’t have an account
[05:17] you have to create an account in order
[05:18] to get to this section so what this is
[05:20] going to do is this is going to make
[05:22] sure that the person who is trying to
[05:24] connect their zapier account to the GPT
[05:27] is actually they have already been
[05:28] logged in into their zp zapier’s AI
[05:31] action and then what we’re going to do
[05:33] is move on to the next step so that’s
[05:35] the first check we want to do so the
[05:37] step one is telling the user that you’re
[05:40] checking in to make sure that the zpr
[05:42] API actions that’s needed to complete
[05:44] the request um is actually available so
[05:48] what this means is once the GPT is
[05:51] enabled or the user puts in a prompt the
[05:56] GPD is going to go ahead and connect to
[05:58] the zpr API AC
[06:00] and they’re going to check to make sure
[06:01] that the required actions that’s needed
[06:03] to perform that task is actually enabled
[06:06] so what does this mean right so let’s go
[06:08] ahead and switch to AI actions here and
[06:12] we’re going to come to my actions and
[06:15] click on manage
[06:17] actions and as you can see right now I
[06:19] don’t have any actions meaning if we try
[06:22] to run the GPT right now it’s going to
[06:23] give us an error because it’s going to
[06:25] say we reached out to zapier and it
[06:27] seems that the task that you’re trying
[06:29] to
[06:30] uh complete and doesn’t work because the
[06:32] action has not been enabled so for our
[06:34] example in this GPT because we’re
[06:36] planning to create um a calendar event
[06:40] what that’s going to require us to add
[06:43] um uh enable a new action that’s has to
[06:47] connect to our calendar so what does
[06:48] this mean so we’re going to come here in
[06:50] um zier AI actions and we’re going to
[06:52] create uh search for
[06:54] [Music]
[06:55] Google
[06:58] Calendar
[07:00] all right so now there’s all sorts of
[07:02] events here that we can connect to in
[07:04] the Google Calendar so what we’re going
[07:06] to do is go ahead and select quick add
[07:09] event so what this does is it creates an
[07:11] event from a piece of text um which is
[07:14] going to be uh useful on our G uh GPT
[07:19] because obviously we’re going to create
[07:20] an event uh by instructing the GPT with
[07:24] plain text all right so it has already
[07:26] connected to my calendar now you guys
[07:28] can connect your calendar yourself so
[07:31] when you click on click new this is
[07:33] going to take you to your Google account
[07:35] and it’s going to ask you for permission
[07:36] to add that calendar to zap here and you
[07:39] then it’s going to take you back right
[07:41] here all right so here I’m going to
[07:43] click on set a specific field for this
[07:46] so this one you can leave as AI guess I
[07:50] have ai guess the value for this field
[07:52] or set a specific value I’m just going
[07:54] to set a specific value and this is
[07:55] going to take a look at um pull up the
[07:58] different calendar address that’s
[07:59] connected to that email account so I’m
[08:01] going to click on the family one cuz
[08:03] that’s my main calendar uh and then I’m
[08:05] going to click on enable action the
[08:07] describe event I can leave this has have
[08:09] a I guess the value for this
[08:11] field on enable
[08:14] action and now as you can see uh the
[08:17] Google Calendar quick add event family
[08:19] calendar is enabled so now what I’m
[08:22] going to do is I’m going to close this
[08:24] off switch back
[08:26] here so now this first step this is
[08:29] basically complete for me um because now
[08:32] the action that’s required U for GPT to
[08:36] perform um is enabled on the zi actions
[08:40] so step step number two um so it says
[08:43] that if the required actions is not
[08:44] available the send user the required
[08:46] action configuration it so what this
[08:48] does is in case you the action is not
[08:51] found on zier’s API action it’s going to
[08:54] tell them that they need to enable that
[08:56] and it’s going to give you that link so
[08:58] step three is if the user confirms that
[09:00] they have configured the required action
[09:01] continue to step four with the original
[09:03] requests so what step four is does is uh
[09:07] using the available actions ID um and
[09:10] again this is something that it’s going
[09:11] to talk to zapier’s API action in the
[09:14] back end um and it’s going to fill in
[09:16] the strings that’s needed to run that
[09:17] action operation so in order for all of
[09:21] this to happen in order for all this to
[09:22] work we need to specify the required
[09:25] actions here right so right now this is
[09:27] from that uh base template so I’m going
[09:29] to go ahead and delete
[09:33] this and ours was Google Calendar let me
[09:36] go back I forgot
[09:42] now it’s called quick add event there
[09:45] you go so we’re going to say
[09:48] quick add
[09:52] event and then at the end just to make
[09:54] it fun uh I’m going to add the
[09:57] following so I’m going to say once you
[09:59] have created the event successfully
[10:01] output the confirmation for the user
[10:03] using relevant emojis as bullet points
[10:06] so example agenda here’s your event for
[10:08] Tuesday November 7th so I basically want
[10:10] the GPT to Output the confirmation using
[10:13] these fun emojis so and I’m giving it an
[10:15] example here um so let’s close this off
[10:19] now and this is pretty much done at this
[10:22] point so what are we going to do is
[10:24] now take a look at our Google c as you
[10:26] can see there’s nothing here right now
[10:29] so we’re going to
[10:31] go back to our
[10:33] GPT and say okay so we said create a
[10:37] meeting for Thursday at 6:00 a.m. with
[10:39] Jill Smith at theay San Diego and as you
[10:42] can see on my calendar right now there’s
[10:44] no event so we’re going to go ahead and
[10:46] press enter here all right so now um
[10:49] it’s reaching out to zapier’s uh
[10:52] endpoint and it’s asking us to give it
[10:55] the permission so I’m going to click on
[10:58] allow
[11:00] so now it’s communicating with actions.
[11:02] zapier.com and it says I have checked
[11:05] the available zapier actions and found
[11:07] that Google Calendar quick add event
[11:09] action is available I can proceed to
[11:11] create uh the meeting for you so now per
[11:13] our instruction it’s actually did
[11:16] exactly what we told it right so I went
[11:18] and first checked to make sure that the
[11:20] action that we’re asking it to do is
[11:22] actually available on our uh zapier’s AI
[11:26] actions so I’m going to say confirmed
[11:29] so I just going to go ahead and talk to
[11:33] um the actions. zapier.com again so I’m
[11:36] going to click on confirm and again it’s
[11:38] reaching out and doing all this
[11:39] communication based on our AI actions
[11:41] and the op open API schema that we
[11:43] presented here all right as you can see
[11:47] uh it created the event it created the
[11:50] meeting uh the date and time Thursday
[11:52] January 4th at 6:00
[11:55] a.m. location high at San Diego event
[11:58] summary meeting with j Smith at high San
[12:00] Diego and now if we switch over to our
[12:02] Google Calendar there you go as you can
[12:04] see Thursday January 4th at 6 a.m. I
[12:08] have a meeting with Jill Smith at the
[12:09] high at San
[12:11] Diego all right so as you guys can see
[12:14] this is a very powerful way to connect
[12:17] um our GPT to zapier’s AI actions and
[12:20] you guys are more than welcome to check
[12:22] out the rest of action again you don’t
[12:23] have to use um Google Calendars there’s
[12:26] lots of actions that you can use so if
[12:28] you want to add any other program that
[12:31] you want to connect with your GPT you’ll
[12:32] just come into actions here and types of
[12:34] for example if I want to do an Evernote
[12:36] to connect to Evernote I’ll just come
[12:38] click uh um type Evernote here and then
[12:41] these are all the actions that are
[12:43] available for me and the same thing
[12:45] again all other um applications that are
[12:47] in zapier you can connect it uh via the
[12:50] action section and do all sorts of
[12:51] really cool stuff all right hope you
